Running your club

You created the club, so you are the person keeping it ticking over. This guide walks through the admin jobs: letting new people in, adding guests, sharing out roles, confirming payments, settling appeals, and setting up the games and settings that make your club feel like your own.

Approving people who want to join

Every join needs your approval, so nobody lands in your club without you saying yes first. When someone uses your club code, QR, or invite link, you get a join request to deal with.

On approval, you decide who they are. You either approve them as a brand new member, or you merge them onto an existing guest record so they keep that guest's fine history. The joiner never picks their own identity, which stops people quietly claiming a record that is not theirs.

  • New member: use this when the person is genuinely new to the club.
  • Merge onto a guest: use this when you already added them as a guest and want their past fines to follow them in.

Adding guests

A guest is a player who has no account yet. As an admin you can add a guest and they appear on the fine table straight away, so you can start fining them even before they download the app.

When that person later joins for real, you merge the joiner onto their guest record and nothing is lost. It is the tidy way to get a whole squad on the board on day one.

Roles: owner and admins

There are two levels of control. The owner is the person who created the club. Admins are the people you trust to help run it. A few simple rules keep things safe:

  • Your club always needs at least one admin, so the last one cannot be removed.
  • The owner is always an admin and that cannot be switched off.
  • Guests cannot be made admin, because a guest has no account to sign in with.

Sharing the admin load is a good idea if you are away for a weekend and fines still need issuing.

The Manage fines tab

Manage fines is a separate tab from Manage club, and it is where the day to day admin lives. Two jobs turn up here:

  • Confirming payments: when a player flags a fine as paid, it waits for you to confirm it. Once you confirm, the fine is marked paid.
  • Resolving appeals: if a player has appealed a fine to you, you settle it here.

You also get a home screen prompt when there are payments waiting, so nothing sits forgotten.

Manage club settings

Manage club is where you shape how the club looks and behaves. From here you can set:

  • Club name, sport, and badge: the identity of your club.
  • Currency: how every amount is shown across the app.
  • Pot background: the image behind your goal on the home screen.
  • Days to pay: how long a player has before a fine counts as overdue.
  • Payment setup: a payment link plus your payment details. Players see both on their own fines, so they know exactly how to settle up.

Remember, Fine Club never moves any money. The payment link and details simply point players at however your group actually collects.

Turning the games on and off

The games are what make Fine Club more than a spreadsheet, and every one of them is yours to switch on or off. Each also has a limit or two so things stay fair:

  • Spin the wheel: switch it on or off, and set how many spins each player gets per week.
  • Duels: switch it on or off.
  • Kangaroo Court: switch it on or off, and set the number of days between appeals.
  • Get Out of Jail card: switch it on or off, and set the number of days between cards.

A good tip is to start with one or two games switched on, see how your squad takes to them, and add more once everyone has the hang of it.

Managing your goals

A goal is the pot your fines save towards. You are in charge of the goals your club runs, and you can:

  • Start a new goal, which runs alongside any others and becomes the default.
  • Archive a goal you are done with, or reopen one you archived.
  • Make a goal the default, so new fines land in it unless you pick another.
  • Delete a goal. The fines keep their ledger entry but lose the goal.

Deleting the club

Deleting the club is the one job only the owner can do. It is permanent and it wipes everything for every member: fines, goals, the feed, the lot. There is no undo, so only reach for it if you are absolutely sure the club is finished.
